“SugoiMED for MR” (hereinafter referred to as “the Application”) is an application provided by Nihin Media K.K. (hereinafter referred to as “the Company”) and is a solution that provides a place to interact with healthcare professionals for sales representatives and others from life science companies (hereinafter referred to as “the Users”). This Application is available only to corporations and cannot be used by individuals. Please consult the person responsible for overseeing the use of this application within the relevant corporation (hereinafter referred to as the “Reporting Manager”) for details regarding guidelines, etc. within the corporation to which the User belongs, as they relate to the use of this application.
By downloading, installing, accessing or using this Application, you acknowledge that you have read, understood and agree to be bound by the terms and conditions set forth in these Terms of Use (“Terms”). If you do not agree to these Terms and Conditions, please do not continue to use this Application and contact the Reporting Manager for further information.
1. Introduction
We collect personal information when you use this Application and all products, apps, services web portals and websites related to this Application (collectively, the “Services”) provided by us.
“Personal information” means personal information as defined in Article 2, Paragraph 1 of the Act on the Protection of Personal Information (hereinafter referred to as “Personal Information Protection Act”), and includes names, contact information, and other information provided by users through this application that can identify specific individuals (including information that can be easily cross-checked with other information and thus identify specific individuals). This Agreement applies to all data collected in connection with the Service, regardless of the country or region in which the Service is used. In addition, even if this Application is used outside of Japan, this Agreement is governed by the laws and regulations of Japan. Please note that this Application is intended for use by MRs, MSLs, any other sales team members in Japan.
In connection with the application of these Terms and Conditions, we are responsible for processing personal information.
We will process data only to the extent permitted under applicable laws and regulations and only to the extent described in these Terms and Conditions.
Users may agree to these Terms of Use regardless of whether they use the Japanese or English version.
- You agree to provide accurate and up-to-date information during the registration process and to keep your account information secure at all times.
- Users are solely responsible for their use of this Application and any content or information shared through this Application.
- You are the sole owner of this account and you will not share your credentials with any other member.
- You agree not to use the Application for any illegal, fraudulent, or unethical purposes.
- Users may not reverse engineer, modify, distribute, or attempt to create derivative works of the Application.
- Users are responsible for any information they share with healthcare professionals through this application. Users must always use approved content in accordance with the internal corporate guidelines to which they belong.
- You agree not to post or share content that is offensive, illegal, misleading or infringes on the rights of others.
- Users agree to use the Application in a responsible and ethical manner and to refrain from any conduct that may cause harm to others or violate applicable laws and regulations.
- Users shall not use this Application for any illegal purpose or without the necessary permission.
- The user agrees to provide information on ethical drugs, etc. to doctors, etc. in a manner that complies with applicable laws and regulations.
- This application displays a list of medical institutions and physicians partially obtained from the public information of the Ministry of Health, Labor and Welfare, each local health bureau and each medical institution. Although we update and verify the information periodically, users are responsible for reconfirming the accurate and up-to-date information on medical institutions and doctors as necessary.
The above information obtained and displayed from the public information of the Ministry of Health, Labour and Welfare, local health bureaus and medical institutions is obtained in accordance with the opt-out provision of Article 27, Paragraph 2 of the Personal Information Protection Law, and the provision of such information to third parties through opt-out procedures again without the consent of the individual (re-opt-out) is prohibited. For details, please refer to the Privacy Policy on our website.
All intellectual property rights related to this Application, including copyrights, trademarks, and patents, are the exclusive property of the Company. This Application and its contents, including text, graphics, logos, icons, images, software and information with proprietary value, are the property of the Company and are protected by applicable laws and regulations.
This application is provided “as is” without warranty of any kind, either express or implied. we do not warrant the accuracy, reliability or fitness for any particular purpose of this application.
To the extent permitted by applicable laws and regulations, we shall not be liable for any damages arising out of or in connection with the use of this Application by the User.
In addition, the MHLW is not liable for any damages arising from or related to the user’s failure to reconfirm the accuracy, reliability, or fitness for a particular purpose of the information on this application, which is obtained from the public information of the MHLW, local health bureaus, and medical institutions and physicians listed on this application. The Ministry of Health, Labor and Welfare and each medical institution shall not be liable for any damages arising out of or in connection with the user’s failure to reconfirm the accuracy, reliability or fitness for a particular purpose of information obtained from publicly available information.
These Terms and Conditions shall be governed by and construed in accordance with the laws of Japan.
We collect the following data
- Name, photo, age, gender, date of birth, phone number, email address, name of person responsible for reporting, name of company when account was created
- Access logs including actions taken within this application
- Device, browser, and other information (browser type, app version, etc.) to ensure proper functioning of the app
The use of this application is also governed by the guidelines of the legal entity to which the user belongs.
We process personal information and activity logs for the following purposes and only for the following purposes
- Registration and authentication to use this application
- Facilitate appointments with licensed doctors
- Improve the features and services of this application
- Compliance with legal obligations
- Provide insights on improving the conversation with the doctors
Registration and authentication to use this application
Personal information is used to promote security measures and measures to prevent unauthorized use of our services, and we want our users to feel secure in using our services.

- Verify the identity of the user, that the access is authorized, and that only the user is accessing the content displayed in the account.

Facilitate appointments with licensed doctors
Appointment requests are shared with doctors and their administrative staff at their clinics, hospitals, beauty clinics and labs (the “Administrative Staff”) and include details about the appointment (date, time, meeting type (in-person, audio, remote video), etc.) The information will include the following

Improvement of this application’s functions and services
Our goal is to provide users with high quality features and services. To achieve this, we need to continuously research and understand the needs of users in this application to determine what features and services are working well and what challenges users are facing in using the features and services.

- Collect feedback from users on technical issues they are facing with this application.

Compliance with agreements
The Company’s goal is to improve the satisfaction of all Users. We analyze activity data to ensure that user activities do not violate these Terms of Use.
Provide insights on improving the conversation with the doctors
Remote conversations (Video and Audio) will be stored to track the compliance, as well as provide insights to the Life sciences company you are associated with to improve on compliance and as well as communication effectiveness.
We will not provide personal information to any third party (whether paid or unpaid) without the consent of the user or the corporation to which the user belongs, except as stipulated in these Terms of Use. We will not provide personal information to any other third party (whether with or without compensation) without the consent of the user or the corporation to which the user belongs. We may share anonymized information with other third parties without disclosing the details of the user or the company to which the user belongs.
We may provide data to third parties that provide analysis, data processing, or other services to assist us in improving this Application. If such third party has its own privacy policy or terms of use, the user shall comply with such terms of use, etc. when communication occurs between the user and the third party. When we provide data to a third party, we will, in principle, enter into a nondisclosure agreement, and the third party may use the data only for the specific purposes specified in the nondisclosure agreement.
By using this Application, you acknowledge and agree that certain data collected from your use of this Application may be shared with third parties for the purpose of improving and enhancing the functionality of this Application. This data may include, but is not limited to
- Activity data in this application
- Technical Equipment Information
- Utilization Analysis and Patterns
We may share the user’s app activity data (number of reservations, completions, cancellations, etc.) with the corporation to which the user belongs,
By proceeding with the registration process, the user agrees to the sharing of the user’s data as described in these Terms and Conditions. Users may withdraw their consent at any time by deleting their account and discontinuing use of this application. Please note, however, that notwithstanding the withdrawal of consent, data may be shared with third parties for the proper functioning of this Application. However, if such data contains personal information, it will be processed in accordance with the Personal Information Protection Law.
We take reasonable steps to ensure the security and confidentiality of our users’ personal information. We have implemented technical, physical, and administrative security measures to protect against unauthorized access, loss, alteration, and disclosure.
In the event of a suspected or actual data breach, we have processes in place to respond quickly and effectively. If you believe that a data breach has occurred, please contact us immediately at contact@nihinmedia.jp and the person responsible for the report.
When transferring personal information to a third party outside of Japan, we will take appropriate safeguards to protect the data in accordance with applicable laws and regulations.
If a user deletes his/her account, we will retain the data for up to 24 months from the date the user deletes his/her account in order to respond to any inquiries or problems related to the account.
For online appointments, stores the doctor’s name, the user’s name, and information such as the date and time of the appointment, the specifics of the appointment such as the content of the conversation between the doctor and user.
If we receive an official request such as a warrant or if there is an imminent danger to a person’s life or property, we may disclose personal information to third parties such as police or other investigative agencies or courts in accordance with applicable laws and regulations.
In managing the collected personal information, we will take strict security measures in terms of both technical and organizational aspects. In addition, in order to continuously improve the protection of personal information, we will strive to review and strengthen our internal rules and regulations in accordance with changes in applicable laws and regulations.
In principle, we will retain most of the user’s information unless the user requests that his/her account be deleted. If we receive a request from a user to delete his/her account, we will retain the user’s information for a maximum of 24 months and then delete the user’s information in accordance with applicable laws and regulations and internal rules.
We ask for your cooperation in protecting your personal information. Please do not share your password with others. If you suspect any other unauthorized activity on your account, please notify us in writing at contact@nihinmedia.jp
You have the right to access, correct, or delete your personal information to the extent permitted by applicable law. We strive to provide you with the ability to edit your profile and to set and manage the collection, use, and sharing of your personal information on our services. If you do not agree with our Data Use Policy, you have the right to withdraw your consent at any time by deleting your account. We will stop processing your data on the day after you delete your account. However, all data prior to the date of account deletion will continue to be processed in accordance with section 13 in this document.
By using the Application, you acknowledge and agree to the installation and use of the third party modules and cookies described herein.
Third Party Modules: The Application may use third party modules to enhance its functionality, performance, and user experience. These modules may include analytics tools, advertising platforms, social media integrations, and other software components provided by third party vendors.
Use of Cookies: Cookies are small text files that are stored on a user’s device and collect information about their interaction on the Application. We may use both session and persistent cookies to personalize your experience, analyze usage patterns, and improve our services.
Data Collection and Use: Third party modules and cookies may collect data such as device information, location information, usage patterns, and activity history within this App. The collected data may be used to analyze user behavior, improve the App’s functionality, and provide targeted advertising.
You can choose whether or not to accept cookies based on your browser settings or by using other tools. However, if you disable cookies or limit the ability to set cookies, you may not be able to take full advantage of the website or access all of its features, which may limit your overall user experience.
We reserve the right to change or modify these Terms and Conditions at any time. Any changes or modifications to this Agreement will be announced to the user on the Application or on the website. Your continued use of the Application after such modification shall constitute your acceptance of the modified Terms of Use.
We reserve the right to suspend, terminate or modify this Application at any time without prior notice. The Company also reserves the right to terminate a user’s access to the Application if the user violates these Terms of Use.
The Company reserves the right to monitor and control the Content posted on the Application. The Company reserves the right to remove any Content that violates these Terms of Use or applicable laws and regulations.
The Company shall not be liable for any damages whatsoever resulting from the use of this application by the user.
For matters not addressed in these Terms and Conditions, we are responsible for processing personal information collected through the Services to which these Terms and Conditions apply.
